The first step to planning a successful fundraising event is to make a plan! Be sure to map out a clear action plan to execute the best event possible.

Decide on the type of event you would like to organize
Register your event with the MUHC Foundation
Form an event planning committee
Research the costs involved and create a budget
Meet regularly with your committee
Secure your venue
Develop a sponsorship package
Send out solicitation letters for sponsorships and donations
Create a Personal Fundraising Page for you event to share
Send out a Save the Date for your event
3-6 months before your event Task Assigned to Date Completed
Compile an invitation list
Create and send out materials to promote your event
Recruit additional volunteers if necessary
Start accumulating silent auction items and raffle prizes
1-3 months before your event Task Assigned to Date Completed
Promote your event through social media and news outlets
Arrange vendors (ex. Photographer, Videographer, Caterer, etc.)
1 week before your event Task Assigned to Date Completed
Confirm event details (Venue, Set Up, etc.)
Confirm with vendors
Connect with volunteers to provided event details and roles
Day of the Event Task Assigned to Date Completed
Set up and confirm any last minute details that may arise
Record all donations, tickets sales, raffle ticket sales and silent auction items
After your event Task Assigned to Date Completed
Pay all outstanding expenses
Send thank you letters to sponsors, donors and participants
Send proceeds and photos to the MUHC Foundation
Begin planning next year’s event
